Field Coder Ledger Privacy Policy

Last updated September 15, 2026

This policy describes how Field Coder Ledger, a private tool made by Plewman Construction Inc., handles data from QuickBooks Online. It applies only to the QuickBooks companies of Plewman Construction Inc. and Subterra Earthworks Inc., which are the only companies it connects to.

1. Data read

When connected, Field Coder Ledger reads financial reports, the chart of accounts, customer and vendor names, and company settings from QuickBooks Online. It only reads. It does not change any data in QuickBooks.

2. How the data is used

The data is used for internal financial review and planning by Plewman Construction Inc. and Subterra Earthworks Inc. It is not sold, rented or used for advertising.

3. Where the data is kept

The connection credentials are stored on a company computer, outside any shared or synchronised folder. Data read from QuickBooks is displayed on that computer. Summaries and figures chosen for record-keeping are stored in the companies' private document repository, hosted on GitHub.

4. Service providers

Review sessions are carried out with the help of Claude, an AI assistant provided by Anthropic. Data read during a session is processed by Anthropic to provide that service. Data is not shared with any other party, except where required by law.

5. Retention

Credentials are kept until the company is disconnected. Records in the document repository are kept as ordinary business records.

6. Disconnecting

A company can be disconnected at any time from the Apps section of QuickBooks Online. After disconnecting, no further data is read, and the stored credentials stop working.
